Brand and Vendors

How to create a new vendor or brand? 

You can create a vendor by going to Products > Click on 'Brand' > The click on '+Vendor'.

How to assign products to a vendor and determine their order?

 Go to 'Products' > Click on 'Brand' > Click on 'Arrange' next to the Vendor you want to edit.

Here you can add products to this vendor and set their order.

You can change the order by hovering over the product, grasping the top left corner of the product photo and dragging it to the desired place.

How can I create a new category?

How to add products to a category and determine their order?

Go to Products > Categories > Click on Organise.

Here you can add products to the categories and set their order.

You can also add a product to a category directly from the Product tab > Click on the product > Click on 'Organise' and select the appropriate category.


How to create subcategories and change the order of categories?

 You can create subcategories in two ways:

Click '+Subcategory' for the selected category.

Or drag a category into another, to create a subcategory.

Reordering can also be done by dragging the category to the desired location.

Collections

How can I create a new collection?

You can create a collection by going to Products > Collections > + Collection.

Collections, Categories and Vendors

Properly arranging your assortment is a very important element of customer information presentation. 


Categories

Categories serve to group and organize your products. You can define main categories and subcategories, move them between themselves and arrange the order of products within them.

Collections 

Collections can be very helpful, for example, if you sell seasonal items, if you are cleaning up stock or if you occasionally group products. A reference to this collection can then be freely placed in your store. By default, every new store you create will have a home page collection. By adding a new product you are adding it to this collection.

Brand & Vendors

For each product, you can specify the vendor or brand. This way, you can display the products of your brand in the store, and your customers will more easily choose to buy the products of their favourite brand. Your store template may have special sections on the store pages to expose the manufacturers' logos and their names.

How to add photos to products

Go to 'Products'> Click on the product > click on 'Images' 

You can upload a new image in two ways:
Select a photo from your disk by clicking on 'Upload images' or drag and drop them in the designated field.

You can also add photos when you create a new product.

Set the order of displayed images

In the 'Images' tab, when editing the product, click on the top left corner of the image and drag to the right place.

In the 'Images' tab, select which image you want to see as the main image.


Assigning a photo to a product variant

Click on the product you want to edit > Go to the Variants tab > Click on edit.

Then click on the arrow next to the photo and select the one that applies to this variant.

Adding ALT attribute to images

Click on the product you want to edit > Click on 'Images' > Click on the 3 dots within the photo you want to edit > click Edit. Change the Image ALT and click on 'Save changes'.

If you want to set the global ALT parameter for all images (which don't have an individual ALT), you can do this under the 'Marketing' section > SEO> Images SEO.


Why do my photos change colour when I add them to Shoplo?

 If your photos change colour when displayed in the browser, they probably are in the wrong colour space. Change it to sRGB to solve this issue.

1) Open the photo in Adobe Photoshop

2) Select Edit -> Convert to profile ...

3) Under 'Destination Space' add the following profile: sRGB ICE61966-2.1.

4) Save the photo.

And it's ready :)


Adding pictures in product descriptions

You can also add photos to product descriptions. Remember that they will appear in the files section. For this reason, each photo you add to your product description should have a different name. Otherwise, they will be overwritten.

 

Stock management

In Shoplo you can manage the inventory level of all your products.

How to enable stock level tracking for a product?

When adding a new product, choose if Shoplo should toggle inventory level tracking for this product.

For existing products:
Go to 'Products'> Select a product> Click 'Edit' on the Variants section

Then click on the small pencil, to edit the existing variant and select 'Toggle inventory level tracking for this product'.

If the product has more variants, then you can select this option for each variant individually.


Can I sell products when out of stock? 

Yes, if you check the "Allow users to purchase this item when out of stock" option. This option is available when you are tracking stock level for a product.

If you don't select this option, the system will automatically block the possibility to sell a product when its stock is zero.

Can I automatically hide products that are out of stock?

Yes. To do this, go to 'Settings' > Product > Make sure the option 'Display products when stock level reaches 0' is not selected.


How can I change the stock of products/variants?

There are two ways to change your stock:

In bulk

If you want to make a change in bulk, go to the product list and select the products that you want to change the stock of. You can also select individual variants.

Select "change stock" from the menu at the bottom of the list.

By entering an exact number, you will replace the current stock with that quantity. If you want to add eg. 1 item to the current stock, type: "+1".

Individually

Go to 'Products'> Select a product > On the Variants section, click on 'Edit' > Edit variant.

or  'Products'> Select a product >On the Variants section, click on 'Edit' > 'Quick Edit'.

Change stock level and click on 'Save changes'.


Inventory management after connecting a Shoplo store to Shoplo Multichannel

After connecting your Shoplo store with Shoplo Multichannel, inventory management takes place only from the Multichannel dashboard.

If there is a change in your store's inventory, it will be automatically reflected in Multichannel. 

Do not change stock numbers in the dashboard of your connected channels. 


What is product availability?

This option lets you specify when you want to receive low inventory notifications.

Low Availability - A product that sells fast. You will be notified when the stock of this product is less than 20 pcs.

Average Availability - You will receive a notification when the stock of this item drops below 10 pcs.

High Availability - A product less commonly chosen by buyers. You will be notified when the stock of this product is less than 5 pcs.

Managing variants

What are variants and parameters?

Variants are different versions of the same product. For example, one product can come in several sizes (S, M, L) and colours (red, blue, black).

Size and colour are parameters. 


Managing variants:

In Shoplo you can manage variants in three simple steps:

Setting up all variant combinations

Click on a product that doesn't have a variant or add a new one.

Right next to 'Variants' click on 'Edit'.

Click on the three dots > Click on 'Manage variants'

Then select a parameter from the list or create your own.

Enter the corresponding value. Remember that parameters are case sensitive, so you need to use exactly the same word for each product. Click 'Add'.

If you need to, add more parameters. You will also see how many variants will be created. Click on 'Save Changes'.

After you saved the changes, you will see all combinations of variants.

Removing variants. 

If your products are not available in this variant, you can delete it.

Select the variant you want to delete > Select the option 'Delete' from the right menu and click on 'Save'.

Quick edit

If your product already has variants, you can always modify them.

At the top right side of the 'Variant' section, click on three dots and choose 'Quick edit'. Change the data as required and save.

Go to 'Products' > Select a product > On the Variants section click on 'Edit' > Click on 'Quick edit'.

Adding a single variant.  

You can only add a single variant if your product already has variants. If they don't have any, check here how to add your first variant.

Go to 'Product > Select a product > On the Variants section click on 'Edit' > Click on the three dots > Click on 'Add variant'.

Fill in all the values (parameter, price, SKU, etc.)

You can also add the variant availability, which is the estimated time you will need to deliver this specific product variant, and decide whether Shoplo should toggle inventory level tracking for this product variant or not.

 

 

 

Removing products

In Shoplo you can delete several products at once. 

1. Go to the 'Products' tab.

2. Select the products you want to delete.

3. At the bottom of the page, you will see a bar that shows you how many products you selected.

4. From the drop-down menu select 'Delete' and click on 'Save'.

Editing products

In Shoplo you can edit any added product.

Go to the 'Products' tab and click on the product name of the product you want to edit.

You will see four main tabs:

Details

In this tab you can change the product name, description, price, tag and add SEO and other info. 

Images

Here you can add or delete photos, change their order and select a default image. Learn more.

Organise

In this tab you assign the product to the appropriate collection, category or vendor.

History

Here you can see all the product's history.

Importing products from CSV

Go to Products > Click on the three dots > Select 'Import products from CSV'.

Steps when importing products:


Preparing and uploading your CSV file

Click on 'Upload a file'.

The file should be prepared as follows:

  • Use UTF-8 encoding
  • Use a comma (,) as s field separator 
  • Use quotation marks (") as a text separator 

Register categories:

Use the text separator (") to register a category and add the following categories after a comma.

(...), "Men, Women, accessories, extras", (...)

Subcategories are added using the ">" sign.

"Men> Shirts> Long Sleeve", (...)

Example (Men's Shirt):

Belongs to the categories:

  • Men> Shirt
  • Special products

Let's assume that there are only two columns in the CSV file: title and category

The file will look like this:

Title,Category
Men's shirt, "Men > Shirt, Special product"

 


Matching the right columns (mapping)

Match your CSV file columns to the columns from Shoplo. Remember to tick all the columns that you need.

Depending on the number of products, the import can take several minutes.


Troubleshooting

What if the CSV file doesn't import?

If the file doesn't import your products properly, it might mean a few things:

  • The file is saved in the wrong format
  • Several products have the same SKU
  • There are empty fields in the SKU column
  • Something is really not working well - Please write to us and we will help you.
  • Etsy CSV files may have problems.  If you're trying to import an Etsy CSV, please contact us. 



Adding products

To add a product go to 'Products' > Then click on '+ Product'.

When adding a product make sure to complete the following sections:


Basic information

Fill in the following fields:

  • Product Name*
  • Price*
  • Product description
  • Add at least one image
  • Stock-Keeping Unit (SKU)*

*These are required fields. 


Advanced view

Scroll down and click on 'Advanced view' to expand the additional fields. Fill in the additional information.

Pay special attention to the "electronic product" field. Select 'Yes' only if you are selling e-products or digital downloads that don't need a physical delivery address.

Here you can also add the product to the appropriate category, collection and assign it to a specific vendor.

Inventory level

Here you can select if Shoplo should keep track of stock level for this product.

If you select high availability you will get a low stock alert when it reaches 20 units, low availability when it reaches 5 units.

Check this option if you want the customer to be able to buy the product even if you are out of stock.

High availability - For products that sell fast. You will receive a notification when the stock of this product is lower than 20 units.
Average availability - For average-selling products. You will get a notification when the stock of this product is lower than 10 units.
Low availability - For products that aren't bought often. You will be notified when the stock of this product is lower than 5 units.
 


SEO

As a last (optional) step, you can fill out the SEO data.

Stock Keeping Unit (SKU)

 

An SKU is a unique number assigned to a product. It allows unambiguous identification of a product as well as any variant. Catalogue numbers can not be repeated.

Thanks to it, you will quickly find a product even if it has many similar models.

SKU numbers are a mandatory field when adding a new product in Shoplo.
